MyKidsCalendar is really two interconnected tools: one for Coaches (or Team Managers…we call them “Administrators”), and one for the Parents of the Team’s players. Coaches or Team Managers pay a monthly subscription fee to use MyKidsCalendar ($5.00 per month for most individual travel teams), while Parents use MyKidsCalendar free forever.
Coaches get the ball rolling by registering for a free 30-day trial with no obligation (we don’t even need a credit card for the trial). Using our set-up wizard, Coaches set up their teams (as many individual teams as you like) and locations (the places you hold your practices, games, and other events). Initial set-up usually takes about 10 to 15 minutes.

Coaches then begin populating their schedules, adding practices, games, meetings, pizza parties, conditioning or strength training sessions, tournaments, you name it. You can copy recurring events with a mouse click to speed the process, so if you have a practice every Tuesday at the same time and location, it’s very easy to get those on your schedule.
Coaches then “Register” their Team’s Parents by inputting their name and email addresses, and affiliating them with one or more Teams. Once you click the “Register Parent” button, MyKidsCalendar sends an email to that Parent introducing them to MyKidsCalendar and showing them how to log on and see their Personal Calendar; we generate and send the email so the Coach doesn’t have to.
Each Event (practice, game, meeting, etc.) is affiliated with one or more Teams, and that’s important. Parents see ONLY those events that are relevant to their child’s Team (or Teams). So if you have a son on the 10U baseball team, as a parent, your Personal Calendar will have ONLY 10U baseball events on it. Parent Personal Calendars are not cluttered with 11U events that they have no need to know about. More importantly, Parents only receive email and text updates relevant to their Teams, meaning they get fewer messages and therefore pay more attention to the ones they do receive, as they know those messages definitely pertain to them and their children.
Speaking of email and text updates, MyKidsCalendar makes that process about as easy as possible for Coaches. When a Coach adds a new practice, for example, or changes an existing Event, the Coach can choose to check a “Send Email Update to Parents” box. If that box is checked, MyKidsCalendar will automatically generate and send an email to all the Parents of that Team informing them of the change. Coaches don’t have to write or send the email; MyKidsCalendar does it for you. Coaches can also choose to have a text message sent by checking the “Send Text Message to Parents” box. Again, MyKidsCalendar will generate and send the text message for you; you simply check a box.
Coaches can also create and send custom emails and text messages right from MyKidsCalendar, and send those only to the Teams they select. All emails (custom and those generated automatically by MyKidsCalendar) are tracked so Coaches can see what was sent, when, and to which Parents, all under our “Email Center”. The same tracking feature is provided for text messages under the “Texting Center”.
Parents get directions from their homes to events with one mouse click (so no more late night phone calls or emails looking for directions). Parents can also send an email to the coach right from MyKidsCalendar. They can also print their Persona Calendar, or view it on-line in daily, weekly, or monthly views.
Also, there are a number of other features built in to MyKidsCalendar that are designed to improve communication between Coaches and Parents, and include:
- Attendance: Coaches can survey their Parents’ plans to attend a given event by, again, simply checking a box. After you check the “Request Attendance” box for an event, that event will be highlighted in Parents’ Personal Calendars until they provide a response. Those responses are tracked and displayed by Event for the Coach. And, with one click of the mouse, Coaches can have an Email generated and sent to the Parents who have not responded.
- Document Center: Coaches can post documents within MyKidsCalendar that Parents can download, so posting documents on the web is no longer something that only a webmaster can do.
- Message Center: Coaches can post Team-specific Messages that Parents see when they log on, and MyKidsCalendar tracks – and reports to the Coach – which Parents have read the Message and which have not.
- Parent Tracking: Coaches can see which Parent are logging on and checking their schedules, and, with one click, have an email generated and sent to those Parents who have not logged on.
- Announcements: Coaches can post Announcements in the Parents’ Personal Calendars emphasizing information that might not be traditional Events. For example: “Fees are Due Today”
- Important Events: Coaches can highlight Events in red on Parents’ Personal Calendars that they consider particularly important.
- Blackout Dates: Coaches can black a date out so Parents know there is no activity that day, for example: “Labor Day, Gym Closed”
- Contact Management: Coaches can build contact information for their Team’s staff: coaches, assistant coaches, team moms and dads, and list those for Parent’s to contact directly from MyKidsCalendar
There are number of other handy features that MyKidsCalendar has incorporated into the service, all in an effort to make it easier for Coaches to communicate with the Parents of their players.
